Refund & cancellation policy

Eligibility

Refunds apply to fees paid for Facility Energy Usage Reports, Load Profile Reviews, On-Site Energy Walkthroughs, and Monthly Reporting Retainers when the conditions below are met. Informational website browsing does not involve payment.

Deposits

Engagements typically require a deposit stated in the estimate. Deposits reserve analyst time and, for walkthroughs, a visit slot. Deposits become non-refundable once data intake or on-site preparation has begun, except where we cancel the work.

Timeframe to request a refund

Submit refund requests in writing to hello@system-gridhub.click within 14 days of the charge you dispute, or within 7 days of a cancelled visit date, whichever applies. Include the engagement reference and reason.

Full and partial refunds

If we cancel an engagement before delivery, you receive a full refund of amounts paid for the cancelled scope. If you cancel before data intake begins, we refund fees minus any non-recoverable third-party costs disclosed in the estimate. After intake or draft visuals begin, fees for work already performed are non-refundable; unused remaining scope may be partially refunded at our discretion based on progress.

Non-refundable items

Completed report packs, delivered monthly packs for months already issued, and walkthroughs that occurred as scheduled are non-refundable. Travel booked at your request for sites outside Greater Bangkok may be non-refundable once purchased.

Cancellation & rescheduling

Cancel or reschedule walkthroughs at least 48 hours before the agreed start. Later cancellations may forfeit the visit fee. Report timelines may shift when meter extracts arrive late; that delay is not itself grounds for a refund.

No-shows

If escorts or access are unavailable at the agreed walkthrough time without 48 hours’ notice, the visit may be charged as delivered. We will offer one reschedule when possible.

Work already started & materials

Analysis hours, draft charts, and field notes already produced remain billable. We do not purchase client meters or hardware; there are no physical product returns.

Processing time & method

Approved refunds are processed within 14 business days to the original payment method unless another method is required by the payment provider. Bank timelines may add additional days.

Monthly retainers

Retainers require a three-month minimum. After the minimum, cancel with 30 days’ written notice. Fees for months already delivered are not refunded. Unused prepaid months after the notice period may be refunded pro rata.
